General Terms & Conditions

1. General

Iberian Adventures trips are operated by ONATURA, a licensed Spanish travel agency with Operating License C.A.A. 327 (issued by the autonomous community of Aragon and registered to Coral Cultura y Aventura SL).

Iberian Adventures is a registered name belonging to Coral Cultura y Aventura, S.L., a Spanish limited partnership with fiscal number B05185566 and in compliance with all legal, financial and insurance requirements under Spanish Law and regulations.

2. Eligibility

Standard trips are limited to persons 18 years of age or older, or 14 years and older if accompanied by a parent or guardian. Family groups with children younger than 14 years may book a private customized version of any of our tours.
Tour members must be in good physical and mental health. Physical disabilities requiring special attention or treatment must be disclosed to Iberian Adventures / Coral Cultura y Aventura, S.L. when a reservation is made.
Iberian Adventures / Coral Cultura y Aventura, S.L. reserves the right to refuse any person whose condition may be a hazard to themselves or others.

3.  Reservations & Payments

The following shall apply to reservation or booking of our tours

3.1. In order to notify us of your intent to reserve and provide us with a reference to facilitate the booking process, you must contact us by email or send in one of the forms found on the Reservations and Payments page of our website here:   https://www.iberianadventures.com/reservations-and-payments/

3.2 A deposit of 300 EUROS per person or 30% of the total trip cost per person – whichever is greater – is required to reserve a place on any given tour with the outstanding balance to be paid 60 days before tour starting date. Full payment of the total trip cost is required to secure reservations made less than 60 days before tour starting date.

3.3 Payment should be made by credit card on our secure payment page; by PayPal; or by electronic bank transfer to the accounts as described by your Iberian Adventures’ representative.  Payment by PayPal or bank transfer will be made in such a manner to ensure that the recipient receives the full amount. In the case of a bank transfer, you should pay any relevant additional charges. In the case of PayPal, the 300 euros per person amount will include an additional supplement to cover our current PayPal charges for cross-border payments. See our website and the invoice for your trip for exact amount of additional fees.

3.4 We can confirm your reservation once we have received both the deposit and the reservation form. At that time, we will send you a receipt of payment via e-mail or post, detailing the total cost of the tour, the amount paid and, where necessary, how much remains to be paid and the deadline for such payment. We will also send, separately, advice on preparation, and a clothing and equipment packing list together with a Release and Assumption of Risk form (Liability Waiver), which must be signed and returned in order to finalize the reservation process.

3.5 A contract shall come into effect between you and us upon receipt by us of the relevant deposit or, in the case of a late booking, upon full payment of full payment of the tour price.

3.6 On receipt of full payment we will send a receipt of payment via e-mail or post, and separately, further information about the tour, including a detailed itinerary and hotel contact list.

4. Late bookings

You may book a tour at any time less than 60 days before departure, without extra charges, on the understanding that confirmation will be subject to availability. Full payment of the total trip cost must be made for late bookings. However, we recommend that you book your trip well in advance to help ensure you get your preferred arrangements.

 

5. Cancellations, Alterations & Modifications and Refunds

 

5.1  Cancellation by you

Any cancellation must be notified to us in writing, and will only be effective upon receipt by us. Cancellation fees are according to the following schedule of when we receive your  notification:

60 days or more before the trip commencement date: full deposit paid

59 – 30 days before the trip commencement date: 50% of full cost of the trip;

29 – 15 days before the trip commencement date: 75% of full cost of the trip;

Less than 14 days before the trip commencement date: 100% of full cost of the trip

No refund is available for late arrival / early departure / unused portion of a tour.

Depending on the reasons for your cancellation, you should be able to reclaim these cancellation charges from your insurance company if you have taken out travel insurance. All of the above are also subject to applicable fees, in other words, Iberian Adventures / Coral Cultura y Aventura, S.L. will retain the cancellation charge amount stated above, then credit the remainder back to your credit card or transfer the remainder back to a bank account of your preference, but with all applicable bank transfer fees to be subtracted from said remainder.

One exception shall be made to loss of 100% of the deposit if cancelling 60 days or more prior to trip departure. This is the case where we quote you an “estimated price” for the trip, but require the payment of the deposit to proceed with booking.  Then in the process of reserving your rooms, due to availability issues on your preferred dates, despite our best efforts, we are forced to use more expensive lodging or lodging requiring additional transfers etc. IF the result of this situation is that the final quoted trip price is more than 10% higher than originally quoted, you shall  have the option to cancel, with only a partial loss of the deposit, equal to 150 euros per person. In other words, in this case only, we will refund your deposit minus 150 euros per person

 

5.2 Cancellation by us

Iberian Adventures / ONATURA / Coral Cultura y Aventura, S.L. reserves the right to cancel a tour at any time for any reason prior to departure and in such case will refund in full any payment of the tour price made by the participant.

Iberian Adventures / ONATURA / Coral Cultura y Aventura, S.L. is not responsible for penalties incurred due to the purchase of non-refundable airline tickets.

 

5.3 Date changes, postponements and other alterations of your trip

If, after any payment has been made, and up to 30 days or more before your scheduled trip start date If you wish to change or alter your existing booking (eg: change dates (postponement), modify the itinerary, switch to a different tour or change accommodations or activities arranged on a custom basis etc.), we will use all our reasonable efforts to comply with your request, however you will be obliged to pay for any additional expenses that are incurred as a result (eg: higher hotel rates or higher tarifs for services by other suppliers).

In addition, we charge a 25 euro per night per booking (not per person) administration fee for changing your reservation (eg. if the booking for a trip of 10 nights must be changed, the fee will be 250 euros, but if only 1 night is changed, the fee is 25 euros)  Within 30 days of departure, our cancellation fees in section 5.1 will apply to such trip modifications.

 

5.4 If you decide to change your trip in any way once it has commenced, we accept no liability for any loss, damage or additional expense and we cannot provide a refund of any costs already paid by you.

5.5 In case of a shortage of participants, Iberian Adventures / ONATURA / Coral Cultura y Aventura, S.L. reserves the right to substitute a comparable tour package, and will issue a refund, if applicable, equal to the difference in the tour package prices. If no comparable tours are available, we reserve the right to cancel the tour subject to the conditions of section 5.2. Iberian Adventures / Coral Cultura y Aventura, S.L. also reserves the right to modify itineraries, order and content of activities due to local conditions, weather or other reasons. Iberian Adventures / Coral Cultura y Aventura, S.L. reserves the right to modify scheduled or advertised accommodations due to local circumstances – in this event, we will make every reasonable effort to substitute accommodations of comparable quality, as determined by us. In the event that we can only locate substitute accommodations of a significantly lower level of quality, as determined by us, we will issue refunds of monies equal to differences in room rates between original and replacement accommodations.

 

6.  Responsibilities, “Force Majeure”, & Assumption of Risk

As a trip participant, you have a responsibility to other tour members (guided trips) and Iberian Adventures / Coral Cultura y Aventura, S.L.  This includes:

  • Getting to the tour starting point on time
  • Selecting a trip appropriate to your physical ability and interests, and being in good enough health to fully participate in the trip
  • Preparing for the trip by reading all pre-departure information sent to you by Iberian Adventures / Coral Cultura y Aventura, S.L. and bringing with you appropriate clothing and equipment.
  • Acting in an appropriate and respectful manner in accordance with the customs and laws of Spain.

Tour participants must recognize that, during any of these tours, certain risks and dangers may occur including, but not limited to, the hazards of such activities as bicycling, and walking and hiking along road, paths and open terrain; the possibility that accidents and illness may occur, or that the forces of nature and transportation modes may cause inconveniences, delays and/or cancellations. Tour participants are completely responsible for their individual wellness, well-being and physical fitness before and during the tour.

Iberian Adventures / Coral Cultura y Aventura, S.L. reserves the right to accept or decline continued participation of any tour participant at any time, if, in the judgement of the tour leader/guide, said participant’s behaviour is causing unreasonable disturbance or harm to tour leader/guide or other tour participants. In such cases, Iberian Adventures / Coral Cultura y Aventura, S.L. ‘s liability is limited to the actual cost of the unused services, to be determined according to reasonable criteria by Iberian Adventures / Coral Cultura y Aventura, S.L.

We regret Iberian Adventures / Coral Cultura y Aventura, S.L. cannot accept liability or pay any compensation for loss or damage of personal effects, or any injury or loss during the trip due to ‘force majeure’, or where the performance of our contractual obligations is prevented or affected by ‘force majeure’. In these booking conditions, ‘force majeure’ means any event which we or the suppliers of any of our services in question could not, even with all due care, foresee or avoid. Such events may include war or threat of war, civil strife, terrorist activity, industrial dispute, natural or nuclear disaster, fire, floods, adverse weather conditions, epidemics or pandemics and all similar events outside our control.

Similarly, under no circumstances does Iberian Adventures / Coral Cultura y Aventura, S.L. accept any responsibility or liability for any loss or damage of personal effects or for any injury or loss during the trip, ‘force majeure’ notwithstanding, due to other acts or incidents beyond its ability to control, such as behavior of tour customers, actions of transport providers, activity organizers, or any other service suppliers, thefts and dangers incident to land travel.

7. Insurance

In view of the above, we require that all clients provide proof of having appropriate travel and personal insurance cover, including accident insurance. We recommend that your coverage also include trip cancellation.

8. Prices

The tour price covers planning, operating and handling fees and expenses from specified tour starting point to specified tour ending point.  All prices are listed in EUROS, and are subject to periodic adjustments due to increases in the rates of our service providers (hotels, transport, etc.). However, once a deposit has been paid, the tour price is guaranteed. All prices listed are per person, based on double or single occupancy.

If single participants wish, we will do our best to assign them a roommate of the same gender, so as to take advantage of the double room rate. If no acceptable roommate is available by tour confirmation date, the single occupancy rate will apply.

The quoted price represents a package price for the services offered and an itemization of individual components will not be rendered under any circumstances.

  • Meeting at tour starting point and subsequent accompaniment throughout the tour to tour ending point, by an English-speaking Iberian Adventures / Coral Cultura y Aventura, S.L. representative/guide/leader.
  • All ground transportation to and from accommodation and tour activities as per itinerary between tour starting and ending point.
  • Accommodation fees, taxes, service charges.
  • Meals as stipulated in each tour package.
  • Entrance charges necessary for museums and other organized activities as specified in tour itinerary

Included in Tour Price on Self-Guided Tours

  • Accommodation fees, taxes, service charges
  • Meals as stipulated in each tour package
  • Telephone number of an English-speaking Iberian Adventures / Coral Cultura y Aventura, S.L. representative/guide
  • Transfer of luggage from one accommodation to the next, as per itinerary between tour starting and ending point.
  • Ground transportation to and from accommodation and tour activities as described on your itinerary.
  • Detailed route notes and maps

Not Included in Tour Price

  • Airfare to and from Spain.
  • Transport to tour starting point and onward from tour ending point (unless arranged and paid for in advance).
  • Personal car rental.
  • Airport taxes, departure fees.
  • Laundry service.
  • Tips.
  • Phone calls, faxes.
  • Personal bar bills, or items consumed via room service or from hotel minibar refrigerators.
  • Entrance charges for any museums or other organized activities which are not specified as included costs in tour itinerary
  • Charge for issuance of pilgrim’s “credentials” – on Pilgrim’s Way tours – usually about 3 euros.
  • Any charges in excess of those covered by the prepaid packages.

9. Documentation Requirements

It is the participant’s sole responsibility to ascertain whether visa(s) are required for entry into Spain and to acquire such visa(s) and/or other travel authorization from the proper authorities prior to departure.

10. Health-related requirements

It is the participant’s sole responsibility to ascertain and comply with the health requirements for entry into Spain and re-entry to their country of origin. 11. Luggage Transfer

Guided Trips include the transport of 1 large bag (maximum weight 20 kg) or 2 smaller bags per person throughout the trip itinerary. Your luggage will normally be carried by our daily support vehicle although in some cases luggage transfer may be provided by a 3rd party specialist provider. In most accommodations, you will be responsible for carrying your own bag to and from any support vehicles and your room. Drivers, trip leaders & guides will perform the loading and unloading of luggage to and from the support vehicle.

On Self-Guided Trips, your booking includes the transport of your luggage from one accommodation to the next, as required by the trip itinerary. The trip cost covers the transport of 1 piece of luggage weighing no more than 20 kg maximum per person. Luggage transfer is performed by a specialist provider. A supplement applies for additional luggage pieces and overweight bags. Please inform us prior to your departure of any additional luggage or weight so that we can charge the appropriate fee and inform the service provider.

An additional penalty is chargeable where the transporter informs us of extra weight or additional baggage. To avoid this penalty simply make us aware prior to departure so that we can calculate and apply the necessary charges.

Bags must be left at the hotel front desk/reception area by 8 am for collection.

Please attach a luggage tag with your name and booking reference to aid the identification of each bag that needs to be transported. It is your responsibility to clearly identify your bags for transfer with a luggage tag with your name and booking reference.

Do not attach extra small bags to the main luggage to be transferred.  The luggage transferer and Iberian Adventures / ONATURA / Coral Cultura y Aventura, S.L will not take responsibility for such items.  If additional bags need to be transferred you must notify the Iberian Adventures / ONATURA / Coral Cultura y Aventura, S.L in advance so the appropriate charges can be applied and the transporter advised of these additional bags to be collected.  Failure to notify of extra bags to be transferred can result in these bags not being transferred and you would then be responsible for collecting the bag from the location where you left it.

Iberian Adventures / ONATURA / Coral Cultura y Aventura, S.L cannot be responsible for damage made from our luggage transporter that is: superficial or external including wheels, zips and handles, or due to over-packing, from water, rain or snow, caused by fragile or perishable items inside. If you have travel or baggage insurance you may be able to claim for damage or delay to your luggage.

12. Personal equipment, gear and clothing

All participants on walking and hiking tours must bring appropriate footwear. Quality, lightweight proper hiking shoes with Goretex or similar waterproof membranes are the minimum recommended for trips on the Camino de Santiago. For mountain trips, footwear with ankle support, eg. mid-weight hiking boots, are recommended. Please make sure that newer boots have been properly worn in before the trip. Also make sure that older boots are in good condition (especially the soles), as replacement of footwear can be very difficult once on the trail.

13. Travel and Preparation Information provided by Iberian Adventures

Any information given by Iberian Adventures in regard to visas, vaccinations, climate, clothing, special equipment, topography, etc., is done so in good faith and without responsibility on our part.

14. Complaints

We do not expect and certainly do not want dissatisfied customers, but in the event that you are not entirely satisfied with the service offered, you should notify us in the first instance. That will enable us to put matters right as quickly as possible. If the problem cannot be resolved during the holiday period, the client should contact us in writing within 14 days of returning from holiday and we will do our utmost to resolve the matter.

15. Law & Jurisdiction

These conditions and terms of contract and all matters arising therefrom are subject to Spanish Law and to the exclusive jurisdiction of the Spanish courts.
